Welcome to All Mt. Hood Challenge Participants & Families
We would like to thank you for your interest in our tournament. In an effort to create one of the best tournament experiences ever for the teams that travel from far and wide, we will once again offer the services of our Hotel Coordinator, Valorie Westlund. She has personally toured every hotel, met with hotel management staff and will guide you through the hotel reservation process. Please contact her once you have registered for the tournament so that hotel reservations can be made in a timely manner with our Hotel Partners as rooms will fill quickly. Agreements have been reached with hotels to create partnerships that will add to your team’s overall tournament experience at the Mt. Hood Challenge. We have worked closely with the Hotel Partners to obtain large blocks of rooms for teams participating in the tournament and we will do our best to get you into your first-choice hotel.
Each Hotel Partner will charge their own rates and all rates are subject to the applicable lodging taxes. Each team will complete the ‘Lodging Information' form and work with Valorie to determine which hotel will best suit the needs of your team. Once the hotel has been confirmed and booked, you will be asked to complete a rooming list. While rooming lists can be changed as often as necessary, up to the hotel’s cut-off date, the majority of hotels will ask for an initial rooming list within two weeks of the reservations being made. Once the initial rooming list has been presented, then the hotels will work with the team’s travel coordinator to finalize the reservation process.
Mt. Hood Challenge Hotel Partners have a 2-night minimum stay requirement for U11-U19 teams. The U9 & U10 teams have a 1-night minimum requirement. However, many of the teams will find they need to add an additional night depending on the distance they are traveling as most games will start early on Friday. Special consideration may be available if arranged in advance.
Due to the large demand for hotel rooms during the Mt. Hood Challenge, families will not be able to cancel rooms or amend the rooming list past the hotel’s cut-off date. Each hotel will determine their own cut-off dates so make sure you are aware of important hotel deadlines. Partner Hotels require the Saturday night stay regardless of your win/loss results, including if your team does not advance to Sunday.
Room types will not be guaranteed until confirmation numbers are issued by the hotel as rooms are filled on a first-come first-served basis. We will work closely with the hotels to accommodate all requests as received from the teams. Make sure every family and player is accounted for in the reservation process as it might be difficult to add rooms later at your specific hotel. Do not overbook the rooms as extra rooms cannot be canceled after the hotel’s cut-off date.
Teams staying at non-approved hotels may not participate in the tournament. If tournament approved Partner Hotels are fully booked, Valorie will work with the teams to find other hotel accommodations. As always, your families are welcome to stay at RV Parks or with family in the area. Only those families staying in a hotel need to stay at our Partner Hotels.
The hotel may have additional Financial Contracts &/or Code of Conduct Agreements they will want signed. The Financial Contracts will confirm the cancellation policies of each hotel and the obligations of the families/team staying at the hotel.
Travel teams can follow these steps to make your hotel reservations:
- Browse the list of Partner Hotels on this website and choose two to three hotels that your team is interested in. If you are undecided, Valorie can review all of the hotels in more detail with you so that you find the one that will best suit your team.
- Complete the 'Lodging Information' form and return to Valorie via fax, 503-638-9797, or e-mail, valorie@wusc.net.
- Once the rooms have been booked, you will need to complete the 'Rooming List' and forward it to Valorie. You will both review the details prior to sending it to the hotel so that all questions or concerns can be addressed in a timely manner.
If you have trouble with any of the forms, please contact Valorie and she can e-mail them to you as Word Documents. These may be easier for you to complete on your computer and then they can easily be e-mailed back.
